Job Description
DESCRIPTION OF ROLE
The Commercial Coordinator will be responsible for ensuring efficient operation of the Commercial Department, delivering client satisfaction while adhering to all statutory and legal requirements.
KEY RESPONSIBILITIES
Oversee the operations of the Commercial Department.
Achieve the company’s financial targets for the firm while maintaining a competitive edge and increasing market share.
Monitor compliance with agreed Service Level Agreements (SLAs), Standard Operating Procedures (SOPs), and Key Performance Indicators (KPIs) within the department.
Analyze cost estimates to determine the most efficient shipping, transport, and clearing methods for clients.
Negotiate rates and terms with shipping lines, airlines, transporters, and agents; approve quotations prepared by commercial executives.
Assess emerging opportunities and recommend optimal solutions for the firm and its clients.
Regularly review client needs and ensure service delivery aligns with the firm’s commitments.
Identify relevant tenders for bidding and lead the preparation and submission of tender documentation.
Custodian of all commercial Quotations and contracts, and action expired ones in a timely manner.
Resolve issues and act as the liaison between clients and the operations team.
Coordinate with Operational HODs to ensure the timely execution of acquired jobs while maintaining high levels of client satisfaction.
Provide information and participate in the company's budgeting process.
Implement and monitor commercial Quality Management System processes and procedures.
Oversee client surveys and manage feedback to drive continuous improvement.
Represent the company at client visits, meetings, and social events as needed.
Coach, mentor, and delegate tasks to commercial executives and Commercial Admins to support their development.
Perform any other duties assigned from time to time by management.
ACADEMIC REQUIREMENTS AND EXPERIENCE
A holder of a bachelor’s degree in sales / marketing from a reputable university with a minimum of Second-class honors. Supply Chain, distribution & logistics management knowledge is an added advantage.
Experienced with more than 5 years of progressively in Marketing and commercial activities
Proficient in use of MS Office (Computer literate).
Experienced in logistics costing and preparing quotations.
Conversant with East African Customs Management Act including documentation in sea freight, air freight, clearing and forwarding and shipping procedures.
Effective communication skills – both oral and written and interpersonal skills.
Highly developed teamwork skills – ability to work with others and embrace teamwork
Ability to coordinate all the supply chain activities for customer satisfaction
